Sports Squad Ltd owner and coaches consider data protection to be of utmost importance. We comply

with the General Data Protection Regulation (GDPR) and the Data Protection Act 2018 at all times.

At Sports Squad, we are committed to maintaining the trust and confidence of our customers. In particular, we want you to know that Sports Squad is not in the business of selling, renting or trading email lists with other companies and businesses for marketing purposes. We just don’t do that sort of thing. In this Privacy Policy, we’ve provided lots of detailed information on when and why we collect your personal information, how we use it, and how we keep it secure.

Any member of staff who disregards data protection safe practices will be subject to disciplinary procedures.

Privacy Information

Sports Squad collects information from clients as part of the registration process for our weekly classes, birthday parties or holiday parties. We use that information for a couple of reasons: to tell you about products you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don't rent or trade email lists with other organisations and businesses. We do not divulge personal information to third parties.

tThe information we collect includes :-

Parent(s) name; Child(ren) name; Home address; Email address; Mobile phone number; Child’s date of birth; Emergency Contact Name, Relationship to child and Phone number; Any allergies, medical conditions or behaviours relevant to the child(ren) safety and authority to administer medicine

tThe reason for collection of this information includes:-

The production of Invoices, Contact information for issues with child(ren) in our care, Identifying suitable class for child age group, child safety and medical information.


Data Storage

The information is stored in hard copy and kept in a locked storage box at 6 Oak Park, Bishopbriggs.

Information is also stored on a database of clients for internal use (eg. Preparation of class registers) and is password protected on a laptop.

Information relevant to invoicing is stored on the accounting system Quickbooks which is secured via password.

Hard copy registers recording attendance are kept under control of the Sports squad coaches and include all information and contact details pertaining to the child(ren) safety.

Retention Periods

Hard copy registration forms, booking forms and class registers will be destroyed after a period of 3 years from date of leaving weekly classes or date of event. Documents will be shredded.

Mailing Lists

Occasionally we use a third-party provider, MailChimp, to deliver our news. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing our data protection officer Callum Pettigrew at callum@sportssquad.co.uk

Other Sources

Sports Squad do not obtain personal data from any other source than direct contact with clients.

Review of Privacy Information and uses

Sports Squad regularly review our GDPR policy and where necessary update our policy information.

If we plan to use personal data for a new purpose, we update our privacy information and communicate the changes to individuals before starting any new processing.
